Definitions
"The Hairtransplant Hub Romford LTD" (the "Company").
"We", "Us", "Our", or "the Company" refers to the entity defined in Clause 1.1 responsible for arranging and facilitating the Procedure.
"Patient Information" means all information provided by Us to You, whether in written or verbal form.
"Procedure" means the Follicular Unit Extraction (FUE) hair transplant procedure or any related medical treatment carried out by a Surgeon engaged by Us under a contract for services.
"Surgeon(s)" means a suitably qualified and licensed medical practitioner registered with the relevant professional body appropriate to the Procedure (including, but not limited to, the Royal College of Surgeons, the General Medical Council, or the Royal College of General Practitioners).
"Patient", "You", or "Your" refers to any individual who has entered into a contract with Us for the Procedure.
"Initial Aftercare Period" means the post-operative care included as part of Your hair restoration plan.
"Initial Consultation" means the pre-operative consultation between You and Us.
"Consultant" or "Patient Advocate(s)" means a trained technician specialising in FUE hair transplant procedures.

Status & Responsibilities
Prior to the Procedure, You will undergo one or more assessments conducted by Our Patient Advocates/Consultants, either in person or via remote means, as part of the Initial Consultation. A provisional treatment plan will be prepared for You.
You acknowledge that the Patient Advocate/Consultant acts solely in a coordination capacity and is neither a medical doctor nor a surgeon. Accordingly, any treatment plan provided does not constitute a binding representation.
The treatment plan is indicative only and reflects an expression of intent. You agree that You shall not rely on such plan or any representations made during the Initial Consultation.
The treatment plan is subject to the professional medical judgment of the Surgeon. You acknowledge that the Procedure may differ from the proposed plan due to clinical considerations or differing professional opinions. The Company shall not be liable for any loss arising from reliance on the initial treatment plan.
We will arrange for appropriately qualified Surgeon(s) to perform the Procedure on Your behalf.
We will ensure that all Surgeons maintain appropriate private medical indemnity insurance through recognised providers such as the Medical Defence Union, the Medical Protection Society, or equivalent insurers.
All Surgeons operate on a self-employed basis and retain full responsibility for their clinical decisions. By accepting these Terms, You agree that no claim for negligence or failure to exercise reasonable care shall be brought against the Company in respect of the Procedure. You further confirm that You have read and understood all Patient Information, including the Medical Consent Form and Legal Disclaimer, and accept that no guarantee is given regarding graft survival, quality, or growth outcomes.
The number of grafts and/or sessions required may vary on the day of surgery based on the Surgeon's clinical assessment. Any additional grafts or sessions will incur additional charges. No refund shall be provided where fewer grafts are implanted than originally anticipated.
While patient safety and wellbeing are of paramount importance, You are solely responsible for disclosing all relevant medical conditions. Failure to do so may result in cancellation or postponement of the Procedure and may necessitate further medical evaluation.
You shall be liable for all costs incurred by the Company arising from Your failure to disclose relevant medical information, including rescheduling costs. You agree to indemnify the Company and the Surgeon against any resulting expenses or losses.

Guarantee
Any guarantee relating to implanted hair is conditional upon You maintaining Your health status as it was at the time of the Procedure. You are solely responsible for maintaining appropriate lifestyle and aftercare standards. Any deterioration in health may invalidate such guarantee.

Unlimited Grafts
Any indication of graft numbers (including "up to 4000 grafts") is subject to the Surgeon's clinical judgment on the day of the Procedure. The Surgeon's decision, based on patient safety and clinical suitability, shall be final.

Patient Obligations
This agreement is conditional upon Your acceptance of, and compliance with, the Medical Consent Form and Legal Disclaimer, which must be signed and returned at least 14 days prior to the Procedure.
The Procedure is subject to the Surgeon's approval. The Surgeon may require additional tests, treatments, or monitoring before proceeding. You shall be responsible for all associated third-party costs and will not be entitled to a refund if You fail to comply with such requirements.
Full payment for the Procedure must be made in advance.
Payment for any additional grafts agreed on the day must be made prior to the additional work being carried out.
You acknowledge that Patient Advocates/Consultants do not provide medical advice. Any medical queries must be directed to the Surgeon.
You agree to provide complete and accurate medical history. Failure to do so may result in cancellation without refund. You must promptly inform Us of any changes to Your medical condition.
You acknowledge the potential risks associated with the Procedure, including but not limited to:
The minimum age for consultation and treatment is 18 years.
Where needle-free anaesthesia is offered, You acknowledge it is supplementary and may not be effective. You consent to the use of injectable anaesthetic where required or if the alternative is unavailable.

General Obligations
While We aim to honour scheduled dates, We reserve the right to amend appointments where necessary. No liability shall arise for any consequential losses due to such changes.
You confirm that You have read, understood, and had the opportunity to seek clarification on these Terms.
You will be required to sign a Medical Consent Form at the clinic prior to the Procedure.
We reserve the right to cancel or postpone the Procedure in the interest of patient safety.

Rescheduling & Cancellation
Rescheduling fees apply as follows:

| 14 days or less before the Procedure | ยฃ500 |
In the event of staff illness, Procedures may be cancelled at short notice. We will endeavour to reschedule at the earliest opportunity.
You have a statutory 14-day cooling-off period for contracts formed at a distance.
If services commence within this period, You will be charged for work completed up to cancellation.
No refunds will be issued for cancellations outside the statutory period, including where the Procedure is postponed or cancelled for medical reasons.

Limitation of Liability
The Company's total liability to You, for any reason, shall not exceed the total amount paid by You for the Procedure.

Patient Consent
By entering into this agreement, You confirm Your acceptance of the Medical Consent Form and Legal Disclaimer.

Confidentiality
Both parties agree to maintain confidentiality regarding all aspects of treatment, except where disclosure is required by medical professionals or regulatory authorities.

Jurisdiction
This agreement shall be governed by the laws of England and Wales, and subject to the non-exclusive jurisdiction of its courts.
The Company reserves the right to amend these Terms and Conditions at any time. The latest version will be available on the Company's website.
